Executive Secretary
Executive Assistant Responsible for providing full administrative support to the CEO
 Essential Functions
·         Organize the CEO's workload to anticipate and resolve conflicts, to adjust to changing conditions, and to be able to react accordingly when conditions change
·         Performs highly confidential administrative functions including preparation of written correspondence and detailed reports, maintaining high attention to detail to ensure consistent quality output
·         Compiles, organizes, and prioritizes information for various strategic projects
·         Assists with coordination of company sponsored events including arranging logistics for meetings, conferences, trainings, employee recognition party, summer party, and other project-related events
·         Works with management team to assist in achieving company goals
 
·         Able to anticipate deadlines and hold employees accountable for work they promised i order to meet these deadlines
·         Prepares expense reports for CEO and COO on a monthly basis
·         Develop and maintain a continuing education log for all engineers with a state by state matrix for company requirements
·         Consolidates efficiencies where possible for cost savings
·         Accurately records key decisions and action items resulting from meetings via meeting minutes
·         Create and track Purchase Orders (POs) as needed
·         Assists with department scanning, filing, and maintenance of files (hard and soft copy) in compliance with applicable legal and contractual requirements
·         Performs other duties as assigned
 
·         Job Requirements, Qualifications & Competencies
·         Education: Bachelor Degree in Business Administration
·         Training Requirements (licenses, programs, or certificates):
·         MBA certificate is an advantage
·         MS project 2010 / Primavera certificate
·         Experience: 5 years administrative experience with a minimum of two years at the executive level, demonstrating increasing level of responsibilities
 
·         Knowledge:
·         The holder of this job position is preferred to have a knowledge in the following areas: Project management, Strategic and direct management experience, and change management
·         Skills:
·         Problem solving and decision making skills.
·         Ability to work with a sense of urgency to meet deadlines and address competing priorities
·         Ability to transcribe meeting minutes
·         Demonstrate excellent communication skills (oral and written) to effectively communicate in person, over the phone, thru e-mail or other written correspondence
·         Ability to work efficiently with minimal supervision
·         Professional demeanor and appearance
·         Exceptional problem solving, follow through, and organizational skills
·         Able to multi-task while maintaining careful attention to detail
·         Very high customer service skills
·         Strong attention to detail
·         Proficient in Microsoft Office Suite (Word, Excel, Outlook, Publisher, PowerPoint)
 
·         Working condition & other Information
·         Job location will be on the different sites of the company
·         Travel is required
·         Normal working hours:
·         Saturday to Thursday: from 8 am – 4:30 pm. One break 30 minutes
·         Friday is a weekend holiday.
